Registration Desk

The registration desk will operate as follows:

Thursday 09 May from 09.00 to 19.00; Friday 10 May from 09.00 to 19.00.

If you need any assistance outside these working hours, please ask the International Network for Health Workforce Education staff.

Badge and Congress Material

In order to make the registration procedure smooth and easy, please make sure that following actions have been sorted out before you register:

Your registration fee has been paid (your registration has been confirmed by email upon receipt of the payment); You have a valid ID on you at the registration desk

At registration you will be provided with conference badge and information about the event including the Congress Programme all wrapped up in your delegate bag. Because the majority of delegates will be arriving on Thursday 09 May, there may be a queue at the registration desk. If so, you can make time pass more quickly by for example enjoying a welcome coffee. Please keep your badge with you throughout the event as it is the entrance ticket to every Session during the Congress.

Presentation Protocol

Please stick to the following guidelines in the preparation of your presentation.

All presenters have a fixed time for giving their presentation. For the presentation of Abstracts and/or Short Papers the total time slot will be 20 minutes. For workshops and panels, the total time will be confirmed depending on the panel of speakers. The team of facilitators might contact the abstracts' authors to know more about their background and to find out who will be presenting. Also facilitators might invite presenters to a catch-up meeting during the Congress, for example at the welcome coffee in the morning.

Information for Oral Presentation

The EUC in Nicosia, Cyprus offers a range of fully equipped meeting rooms to ensure that all your needs are met. In details, the following equipment is provided to the speakers and presenters: Tables, Chairs, Projector, Projection Screen, Laptop (Windows 7 or 10), Mouse, Plugs, Cables, Microphone.

Abstract Presenters are kindly asked to bring their Presentation on a USB stick. Presenters are responsible for sending their PowerPoint from the USB memory stick to the laptop desktop before the Session starts. Please note that personal laptops can't be connected to the projectors (presentations on individual laptops is not an option). If needed, one or more staff members will be available in the meeting room for testing presentations before the session starts.

File Type and Format

Presentations must be prepared in PowerPoint version (type .pptx), recommended page set-up is landscape orientation, standard Windows fonts. To avoid any issue with PowerPoint, presentations must be saved as a .pptx files. Video: MOV or AVI are the only acceptable formats. Apple: Please give your filename an extension “pptx” (Preferred version: PowerPoint 2010/2013).

Networking Opportunities

We have designed the programme to allow for extensive networking opportunities. A welcome coffee is served at the beginning of each day where you can join us every morning for friendly, informal networking over a hot drink and a sweet treat. The welcome coffee is scheduled 60 minutes before the daily programme starts. The welcome coffee is completely free of charge along with our lunch breaks. We will also be hosting a Welcome Reception on Thursday 9th May which again is covered in your registration fee. If you would like to be put in contact with any delegates before the meeting then you can make use of our Match Making Service prior to the event.

Dissemination

We want to ensure that our excellent programme and presentations are disseminated far beyond the Congress. With this in mind we will run a comprehensive social media campaign. We will also be offing delegates the chance to conduct video recorded interviews / short presentations on their research topics. These videos will be edited and posted on the INHWE website to ensure knowledge transfer after the event. Internet Connection

Delegates who bring their own Wi-Fi enabled device will have unlimited access to a wireless network throughout the Congress. The service is offered for free to all registered attendees by the EUC (Conference Host).

Congress Evaluation Forms

Your opinion is very important to us. We appreciate your feedback and will use it to evaluate changes and make improvements in our future events. Please do not hesitate to evaluate your overall experience together with the quality of each session you have attended. The online evaluation forms are mobile friendly and requires only few seconds to be submitted.

Special Requirements, Insurance

If you have any special needs (dietary/mobility) not indicated in your registration form, please let us know as soon as possible so we can make the necessary arrangement. The International Network for Health Workforce Education is not liable for personal injury, illness or loss of property of any participant during the event. Participants are advised to take their own personal travel insurance to cover for unexpected eventualities during the trip.
